School Accreditations: Choosing the Right Center for Your Field Trip
The Administrative Headache of Planning a School Trip
Putting together a school trip proposal that includes overnight stays—whether it’s a discovery trip, an outdoor education trip, a cultural trip, or a team-building trip—is a fantastic experience on a human level, but it’s often seen as a real administrative nightmare. Teachers and school principals who lead these projects must navigate a myriad of regulations.
The Academic Inspectorate (and, more broadly, the Ministry of National Education) requires absolute and non-negotiable guarantees regarding the physical and emotional safety of students. The essential requirement for obtaining the much-needed authorization to travel from your DSDEN (Departmental Directorate of National Education Services) is the selection of suitable lodging.
Please note: a teacher cannot rent just any large vacation rental found at random on a general-purpose vacation rental platform. The place of residence must be an approved lodging facility. There are no exceptions to this administrative requirement anywhere in France. An application submitted without a valid approval number will be immediately rejected by the academic authorities, effectively nullifying months of preparation.
What exactly do official government accreditations guarantee?
When a lodging facility proudly displays a “National Education Accreditation”—often inseparably linked to a “Youth and Sports” accreditation (now managed by the SDJES—Departmental Service for Youth, Engagement, and Sports), it means the facility has successfully passed a series of rigorous audits.
These accreditations are not granted for life; they are subject to regular and unannounced inspections by government agencies (fire department, health departments, education inspectors). In practical terms, these certifications guarantee several crucial points:
1. Infrastructure safety and risk prevention
This is the top priority for safety commissions. The center must strictly comply with current fire safety standards for public-access facilities (ERP) that provide lodging. This includes the presence and annual inspection of smoke detectors, interconnected alarms, fire doors, a sufficient number of fire extinguishers, and, above all, unobstructed and clearly marked emergency exits. Center staff must also be trained in emergency evacuation procedures.
2. Food Safety and Sanitation
Catering services for minors are highly regulated. Certification confirms strict compliance with hygiene standards (HACCP—Hazard Analysis Critical Control Point) in commercial kitchens: forward flow, traceability of foodstuffs, daily temperature readings in cold storage rooms, and the retention of sample dishes in case of suspected food poisoning. The maintenance of restroom facilities (showers, toilets) is also rigorously audited.
3. Capacity, Facility Layout, and Accessibility
An accredited center has a maximum capacity set by prefectural decree. Dormitories and bedrooms are sized according to specific rules (a minimum air volume per child is required). The layout must allow for strict separation of girls and boys. In addition, the rooms of adult supervisors must be located in the immediate vicinity of the students’ rooms to allow for rapid intervention and seamless nighttime supervision. Finally, accessibility for people with reduced mobility (PRM) is verified to ensure the inclusion of all students.
By entering the center’s accreditation number into the national digital application for submitting school trip requests, the teacher digitally verifies to their superiors that all these safety requirements are fully met.
Legal Staff-to-Student Ratios: A Necessary Reminder
It is important to note that choosing a fully accredited center in no way exempts the school from fulfilling its own obligations, particularly regarding staff-to-student ratios during the trip. As a reminder (for informational purposes only, as guidelines may change):
- Preschool: At least 2 adults (including the classroom teacher), plus 1 additional adult for every 8 students (when the group exceeds 16 students).
- Elementary school: At least 2 adults (including the teacher), plus 1 additional adult for every 10 students (once the group exceeds 20 students).
- Middle and high schools: The rule is more flexible. The school principal determines the number of chaperones based on the nature of the project and potential risks, but the general rule of thumb is one adult for every 10 to 15 students at most.
The Domaine des Acacias: Expertise Recognized by the SNU
Located in La Ville-aux-Dames (Indre-et-Loire), at the crossroads of the Loire Valley castles, the Domaine des Acacias holds all necessary and up-to-date official certifications. We make it a point to make things easier for teachers by providing them (via direct download or email) with all the required administrative documents: certification of accreditation, detailed floor plans of the buildings and bed assignments, the center’s educational program, and more.
But beyond strict administrative compliance, our facility offers genuine on-the-ground expertise. Drawing on our extensive experience, we have had the privilege of collaborating on the organization of highly demanding government programs, such as hosting team-building retreats for the SNU (Universal National Service). Accommodating hundreds of young SNU volunteers requires military-grade logistics, flawless management of traffic flows, and strict security protocols.
This unique experience demonstrates our exceptional ability to manage very large groups in a highly supervised environment. Our fully enclosed estate offers a protected haven where your students can move about freely and with complete peace of mind. Entrusting your school trip to the Domaine des Acacias means choosing peace of mind for the entire supervising staff.
